Part-time Administrative Assistant - Job Description

The part-time Administrative Assistant coordinates the day-to-day administrative operations of the organization under the supervision of the Senior/Lead Organizer. This role entails thinking about the whole of the organization when it comes to the office, database management, communications and grant management. The Administrative Assistant also provides support for communications, trainings and events, the Spokane Alliance (SA) and Spokane Alliance United (SAU) Boards, the Senior/Lead Organizer and the remote bookkeeper.  

The position is up to 15-20 hours a week, with availability on at least three regularly scheduled days per week.

 

Essential functions:

Office 

  • Open mail and process checks for Bookkeeper 
  • Maintain files (physical and digital)
  • Organize and order office supplies and materials
  • Check voicemails on office phone and respond as needed
  • Act as point person for building and facilities issues
  • Maintain office space and calendar for meeting use by organizers, leaders and members
  • Respond to emails and texts from organizers, leaders and members
  • Attend staff meetings as needed
  • Make bank deposits as directed by Senior/Lead Organizer

Database Management 

  • Update, maintain, and maximize functions of SA online database (NationBuilder). 
  • Update and maintain SA and SAU’s document storage on shared google drive and monitor/update access
  • Assist with data entry

Communication - Support communications as directed by Senior/Lead Organizer 

  • Draft and send large scale communications
  • Update and maintain SA Website
  • Update and maintain SA social media pages
  • Check and respond to secondary email accounts
  • Track thank you notes to individual donors

Training and Events - Support organizing trainings and events

  • Logistics, prep materials, order food, and find event locations
  • Data entry, set-up, check-in

Support SA and SAU Boards

  • Attend monthly meetings to prepare Governance Meeting agenda 
  • Set up zoom for monthly planning meetings and Governance Meeting, send meeting reminders and act as zoom host 
  • Attend monthly Governance Meeting and take minutes 
  • Maintain governance calendar and list of pending issues 

Support Remote Bookkeeper

  • Print checks, arrange for signatures and file check stubs
  • Send annual letters to SAU donors

Other duties depending on expertise/interest:

  • State and federal compliance and registration
  • Assistance with grant applications and grant reporting
  • Scheduling of meetings and events
  • Other duties as assigned

Required skills and competencies:

  • Competent in use of Microsoft Suite
  • Proficient with Zoom and NationBuilder (our online database and website platform) preferable but not required
  • Strong interpersonal and organizational communication skills
  • Exceptionally well organized and cares about the details
  • Mastery in time management to multi-task various projects before the deadline
  • Able to represent our organization well to leaders and member organizations

Salary, Benefits, and Logistics:

Salary: This position will be compensated at a rate of $20.00 per hour and will entail up to 20 hours of work a week. 

Benefits:  The benefits and terms of employment are governed by the current SA Personnel Policies.  This employee earns sick time and is eligible for retirement contributions.

Logistics: This position allows for some flexible office hours and some work can be done from home; some must be done at the Spokane Alliance office during regularly scheduled hours, including participation in in-person meetings. This position is supervised by the Senior/Lead Organizer. 

Date of Opening: This position is available beginning April 1, 2024. An earlier start date can be arranged to allow for training. The position will remain open until filled.
